Create and manage billing groups

For Enterprise only: Create multiple billing groups, assign distinct billing admins, and manage members' billing groups.

Customers on Coda’s Enterprise plan have the option to create billing groups for their workspaces, thus allowing for multi-department billing. This can be helpful when different teams or departments need to collaborate closely with one another in the same Coda workspace, but have different internal budgeting policies or different financial decision makers. For instance, you may want to create separate billing groups for Marketing, Engineering, Sales, etc.

Each billing group can have distinct admins, so that the appropriate people are managing the billing for each group. This article will explain how to create and manage billing groups, including how user roles overlap with billing groups.

Create billing groups

To start creating billing groups, you will need to contact your Coda account team and request to enable this feature. Your account team will work with you to create the necessary set of billing groups. Once created, you can use the steps in the section below to manage and utilize the billing groups.

Manage billing groups and admins

Once a billing group is created, org admins can view and manage billing groups via the organization settings. Just go to coda.io/docs, click on More options in the lower left corner, then select Organization settings. Then find the Billing groups tab.

Here org admins can...

  • view a summary of the number of paid and free users per billing group

  • edit billing group admins by clicking the pencil button

  • change the name of a billing group by clicking the pencil icon

ℹ️ A few notes about billing group admins:

Each billing group should have at least one admin. Admins must also be a Doc Maker Admin (also known as a “workspace admin”) for the workspace the billing group is associate with. The same user can be an admin of multiple billing groups

Manage members and their billing groups

Billing admins can manage members’ billing groups and roles via the Members section of the workspace settings:

  1. Choose the workspace from the left panel

  2. Click on Workspace settings under the workspace name

  3. Click into the Members tab.

Here you will see a list of all workspace members, including their Billing group and Workspace role.

Change a user’s billing group

To change a user’s billing group, follow these steps:

  1. Within the Members tab of the workspace settings, find the user you wish to modify.

  2. Next to their name, under the Billing group column, you will see their current billing group. If you see Unassigned next to their name, this means that the user has yet to be assigned to any billing group.

  3. Click on their current billing group assigned (or on Unassigned, if applicable) and select Change billing group.

  4. Choose their new billing group from the drop-down options, then click Update.

    1. Note: You will only see billing groups here for which you are a billing admin.

Upgrade a member’s role

To upgrade a workspace member’s role, follow the steps below:

  1. Open the Members tab of the workspace settings (see instructions above)

  2. Find the member whose role you wish to modify

  3. Under the Workspace role column, click on their current role, then choose their new role from the list of options.

  4. If the member is currently not assigned to any billing group (it shows Unassigned under the Billing group column) and you are upgrading them to a paid role (such as Doc Maker) you will be prompted to first assign them to a billing group. Choose the billing group from the drop-down list of options, then click Update. You must complete this step in order for the role change to be saved.

    1. Note: You will only see billing groups here for which you are a billing admin.

That’s it! The member’s role has been changed effective immediately.

Filter by billing group

You can also filter your workspace member list by billing group, to get a quick picture of everyone included in a given billing group. To do so, follow these steps:

  1. Open the Members tab of the workspace settings (see instructions above)

  2. Along the top of the members list, you’ll see a series of filters, including the billing group filter. Click into this filter, and select the desired billing group.

FAQs

Is the billing groups feature automatically included in my Enterprise plan?

No, billing groups are an advanced feature that requires initial assistance from the Coda team in order to enable. If you'd like to enable billing groups for your Enterprise org, please contact your Coda account team to discuss.

How does invoicing work for billing groups?

Each billing group will generate its own invoice and is set up in coordination with your Coda account team. If you have any questions about invoicing, please reach out to your account team.

Why is the option to change a user’s billing group greyed out?

You can only assign users to billing groups you are an admin of, so you must be an admin of at least one billing group to have this enabled. To become a billing admin, reach out to one of your org admins and request to be added.

Can I set up a billing group that covers multiple workspaces?

Not currently. Billing groups can only be assigned for a single workspace, and cannot be shared across workspaces.
